Teams are no longer co-located in a single office and often do not even work the same hours. As a result, communication is no longer straightforward or predictable. Today, information must reach employees regardless of whether they are in the office, in the field, or working from home.<\/em><\/p>\n\n\n\n<p><em>At the same time, the number of tools has grown significantly. We have Teams,\u00a0email, intranets, employee portals, internal publications, and various business systems. Each works well in isolation, but together they often create a fragmented environment. People spend increasing amounts of time searching for information rather than acting on it. From our experience,\u00a0<\/em><strong><em>the absence of a single point of access to knowledge has a\u00a0tangible negative impact on productivity and leads to user frustration.<\/em><\/strong>\u00a0<\/p>\n\n\n\n<p><em>Expectations have also evolved. No one wants to \u201csearch\u201d for information anymore\u00a0\u2013\u00a0people simply expect to find answers quickly. The challenge is that many communication tools were designed for a different reality and no longer align with how\u00a0organisations\u00a0operate\u00a0today.<\/em>\u00a0<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"why-is-the-intranet-as-a-tool-becoming-less-effective\"><\/span>Why is the intranet, as a tool, becoming less effective?\u00a0<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p><strong>Grzegorz\u00a0Ciwoniuk:\u00a0<\/strong><em>Because it was originally designed as a content publishing tool\u00a0\u2013\u00a0essentially a\u00a0digital noticeboard or document repository. That\u00a0approach is\u00a0no longer\u00a0fit\u00a0for purpose, for several reasons.<\/em>\u00a0<\/p>\n\n\n\n<p><em>Firstly, it assumes the user will actively find the information themselves. Secondly, it\u00a0operates\u00a0as a separate channel, detached from day-to-day work.\u00a0Thirdly, it does not take into account the user\u2019s context\u00a0\u2013\u00a0their role, location, or immediate needs.\u00a0And finally, it often lacks proper integration with the tools employees\u00a0actually use\u00a0on a daily basis.<\/em>\u00a0<\/p>\n\n\n\n<p><em>As a result, the intranet becomes just another place to check, rather than something that genuinely supports work. That is why\u00a0organisations are beginning to change their approach \u2013 <strong>they are moving away from thinking about the intranet as a tool and starting to treat it as part of a broader communication and knowledge ecosystem.<\/strong><\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"what-does-a-%e2%80%9ccommunication-ecosystem%e2%80%9d-mean-in-the-context-of-an-intranet\"><\/span>What does a \u201ccommunication ecosystem\u201d mean in the context of an intranet?\u00a0<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p><strong>Kamila\u00a0Zarachowicz, Customer Success Manager,\u00a0Workai:\u00a0<\/strong><em>Put simply, it is an approach where\u00a0<\/em><strong><em>the intranet is not a separate entity,\u00a0but rather a central layer connecting communication, knowledge, and work tools<\/em><\/strong><em>. In other words, everything is integrated. Communication, knowledge, and processes are no longer scattered across multiple systems but form a single, coherent environment. Employees do not have to switch between tools.<\/em>\u00a0<\/p>\n\n\n\n<p><em>Information is delivered in context\u00a0\u2013\u00a0within Teams, the intranet, or a mobile application\u00a0\u2013\u00a0wherever the employee happens to be working. HR focuses on onboarding, development, and culture. The intranet is not an add-on, but a natural part of daily work. There is a single, reliable source of information and knowledge accessible to everyone.<\/em>\u00a0<\/p>\n\n\n\n<p><em>Information reaches employees faster, and they stay up to date with what is happening across the\u00a0organisation. A modern intranet does not replace systems\u00a0\u2013\u00a0it\u00a0connects\u00a0them. The goal is to create a unified working environment across Teams, Microsoft 365, and other business applications.<\/em>\u00a0<\/p>\n\n\n\n<p><em>Second, user-centred\u00a0design. Information architecture,\u00a0personalisation, and user experience are critical. The system should not be at the\u00a0centre\u00a0\u2013\u00a0the\u00a0employee\u00a0and their daily needs should be.<\/em>\u00a0<\/p>\n\n\n\n<p><em>Third, the use of AI. This fundamentally changes how intranets are used. Employees can search naturally, receive suggestions, and access ready-made summaries. As a result, they find answers faster and make better decisions.<\/em>\u00a0<\/p>\n\n\n\n<p><em>Finally, continuous development.
