Project background
Żabka is a key business partner with whom we have been delivering highly complex and strategically significant projects since 2024. As part of this collaboration, we were tasked with developing and modernising solutions supporting HR, field teams, and franchisees.
One of the client’s needs was to create a modern platform that would streamline employee development processes and provide operational teams with access to consistent and up-to-date information about franchisees.
Żabka approached us as a trusted Workai partner – thanks to our experience with this solution, we were able to quickly take full responsibility for the analysis, design, and development of an application ready for further growth, including international expansion.
Challenge
The main challenge was to replace the existing legacy system, which no longer met its intended purpose. A key objective was to improve the day-to-day work of the HR department and field teams while maintaining high performance and scalability.
The new platform needed not only to streamline and automate processes but also to become a single, reliable source of data supporting operational decision-making – both in Poland and in future international markets.

The solution was designed based on Discovery phase work, including process analysis, mapping the needs of various organisational units, and defining technological requirements.
We built a modern web platform from scratch using a modular architecture, ready for further development, functional expansion, and international deployment. In parallel, we developed an advanced operational application that gathers comprehensive information about Żabka franchisees – from operational data and cooperation statuses to modules supporting field teams and decision-making processes.
The entire solution was integrated with SAP and systems based on Workai, enabling full automation of data flows and eliminating manual data processing.
Project scope
Analysis: Analysis of HR and field operations processes, identification of user needs.
Solution design: System architecture and modular platform concept, UX wireframes, UI designs, business process maps.
Implementation: Development of a web application supporting bonus processes, employee evaluations, and development discussions; creation of an operational application with a central knowledge base about franchisees; integrations with SAP and Workai systems; manual, integration, and performance testing.
Support and maintenance: Ongoing maintenance and continuous development of the platform, including preparation for international expansion.
